NCR paper is carbonless paper: NCR stands for “no carbon required”. Each sheet carries a coating that reacts under pen pressure, so whatever you write on the top copy appears on the sheets underneath. It is the paper inside invoice books, receipt books, delivery notes and order pads, usually in 2, 3 or 4 coloured parts.
What NCR means
Before carbonless paper, a copy of a handwritten form meant slipping a sheet of carbon paper between two pages. It was messy, it smudged and the carbon sheet had to be thrown away. NCR paper puts the copying chemistry into the paper itself, so the sheets can be printed, collated into sets and handed to the person filling them in with nothing else needed.
You will see the same product described as carbonless copy paper, NCR forms, duplicate paper or multi-part stationery. They all mean the same thing: a set of sheets that makes its own copies.
How a set of NCR sheets is built
A set has a top sheet, a bottom sheet and, for three or four parts, one or two middle sheets. The coatings are different on each one, which is why the order of the sheets matters.
| Sheet | Coating | Job |
|---|---|---|
| Top (CB, coated back) | Tiny capsules of colourless dye on the back | Takes the pen and passes the image down |
| Middle (CFB, coated front and back) | Receiving layer on the front, capsules on the back | Receives the image and passes it on |
| Bottom (CF, coated front) | Receiving layer only | Receives the final copy |
Pressure from a pen or a stamp bursts the capsules on the back of a sheet. The dye meets the receiving layer on the sheet below and turns dark blue or black. Where there is no pressure, nothing happens, which is why a clean set shows only what you wrote.
Parts and colours
The number of parts is the number of copies each time you write once. Two parts gives you a copy for the customer and one to keep. Three parts adds a copy for the office or the accounts file. Four parts suits jobs where a driver, a warehouse or a second department also needs a record.
The sheets are usually coloured so everyone knows which copy is theirs at a glance: white on top, then yellow, then pink, then blue. Our NCR invoice books and NCR pads follow that order in 2, 3 or 4 parts.
What carbonless paper is used for
- Invoices and receipts written on site, at a market stall or at the counter.
- Delivery notes signed by the person receiving the goods, with a copy left behind.
- Order forms taken by reps, at trade shows or over the phone.
- Job sheets and work orders for trades, garages and service engineers.
- Quotes and estimates written in front of the customer.
- Inspection and checklist forms where a signed copy has to stay with the client.
Paper forms still make sense where there is no signal, no laptop or no time. A customer can sign a sheet in seconds, and a copy goes home with them without printing or emailing anything.
Books, pads and loose sets
NCR paper reaches you in three formats. Books are stitched into a cover with every set numbered in sequence, which suits invoices and receipts that need an audit trail. Pads are glued along the top edge onto a card back, so each set tears away whole. Loose NCR sets come unbound for printers, clipboards, ring binders or your own filing system. Our invoice books, pads and sets page shows all three side by side.
Writing on NCR paper
A ballpoint pen gives the clearest copies, because it presses a fine point firmly into the sheet. Gel pens and felt tips glide too lightly to burst many capsules. Press a little harder than usual, and slip the card cover or a piece of card under the set you are writing on, so you do not mark the next one in the book.
Copies are permanent once made, but carbonless images can fade if they sit in strong sunlight or near heat for long periods. Store finished books in a drawer or box file and they stay readable for years.
Getting your forms printed
Printed NCR forms carry your logo, contact details and the boxes you need, such as date, customer, description, quantity and total. The print goes on the front of the top sheet and is repeated on the copies below. You can also print terms and conditions on the back.
Every upload gets an automatic check for size and resolution before you pay. If a file fails, you can upload a better one, send it later, choose the paid File Check so a person looks it over, or ask our design service to lay out the form for you.
Questions
What does NCR stand for on paper?
No carbon required. The sheets carry their own coatings, so they copy your writing onto the sheets below without a separate sheet of carbon paper.
Is NCR paper the same as carbonless paper?
Yes. NCR paper, carbonless paper, carbonless copy paper and multi-part forms are different names for the same thing.
How many copies can NCR paper make?
Common sets have 2, 3 or 4 parts. Beyond four parts the bottom copy gets faint, so most forms stop there.
Which pen works best on carbonless paper?
A ballpoint pen pressed firmly. Gel pens, felt tips and pencils press too lightly and leave weak copies.
Can you print a logo on NCR forms?
Yes. Your logo, details and boxes are printed on the top sheet and repeated on every copy below, in black or full colour.
